Is the Starter account really free?

Yes! The starter plan comes with all of the features necessary to create a profile and respond to Prosals.

How will I be charged?

The Premium Plan is billed monthly at $69/mo to the card or account of your choosing. You will be billed on the monthly anniversary of when you signed up and can update at any time.

How do I choose what RFPs I receive?

Fill out the areas of expertise in your profile and our AI-assisted matching will do the rest of the work!

Is there a lot of competition?

Most agencies respond to our RFPs when looking for work, so most projects only get a handful of interest (between 3-5 interested agencies to be exact), and not everyone ends up bidding.

What type of opportunities will I receive ?

The exact number depends, but we post about 20 new RFPs every week. No matter what plan you sign up for, you'll have a guaranteed number of leads.

How can I talk to other users ?

Of course! All issuers can create a free account and take full advantage of our resources and platform tools. Reach out to us via chat or email to ask about our RFP concierge service where we'll run an RFP for you.

How do I upload my RFP?

The easiest way to upload your RFP is to click the Post a Prosal button in your header. Once your RFP is uploaded to prosal.io, we call it a "Prosal."

How do I view responses/proposals in response to my Prosal?

Yes, they are one in the same. As an Issuer, you can view it by either clicking your profile picture and selecting View Responses then clicking on any card body, or by navigating to the dashboard, or by clicking View Responses on the View Prosal page.

How do you decide the difference between premium RFPs and non-Premium RFPs?

The primary difference between premium and free RFPs is budget. For almost all  premium RFPs, we've been able to vet and confirm the budget.

In some cases, some RFPs are also marked as premium and are likely to attract a high degree of interest, but they are moved to premium to  reduce competition.

How does Prosal Work?

We'd love to deliver RFPs to you so that you can be ready to find your next client when it's the right time. Our free account ensures you get the convenience of a daily digest of RFPs posted just for you, making it easier for you to stay updated.

You can create your account and fill out your areas of expertise in your profile. Then, we'll match RFPs to your profile and give you a heads-up when something aligned is posted.

I'm an issuer - how do I navigate the header?

The header for issuers is customized for your usage.

Dashboard: From here, you can manage all your active and inactive Prosals, view responses, collaborate on ongoing projects, update your profile and edit your account settings.

Messages: You can use your messages to communicate with Respondents. A green dot means you have an unread message in your inbox.

Notifications: This is where you will be notified about any changes or updates to your account or posted Prosals, such as if you have received a response. A green dot means you have an unread notification.

Profile Dropdown: This dropdown offers you a quick way to view your profile, see responses, or go to your account settings.

I'm an issuer - how does my Prosal look after posting it?

It looks the same as you see when in the View Prosal page, except instead of Edit Prosal, they have a Submit Response button.

Step 1: Post your Prosal

The first step is to post your Prosal. Use the button in the header to start.

Upload a document (usually your RFP), and then fill out the details.

If you do not have a document, please be descriptive in your summary, or reach out to the Prosal team to help you put one together.

Note that hashtags are searchable and can increase visibility on your Prosal.

After Posting

Once uploaded, it will be visible to anyone with an account on Prosal. It will appear on their marketplace page as a card, and be searchable. This is what you will see:

Making Updates

You can update any part of the Prosal, from the attached document to extending the deadline. Just click Edit Prosal.

Updates will appear as timestamped comments in the public Question & Answer section at the bottom of your Prosal.

Sharing

By sharing your Prosal using the Share button, you can invite your network to respond and ask questions on your View Prosal Page.

Anyone who receives this Share link can see the entire Prosal without having to create an account.

You can also send a share link by adding /share to the end of your Prosal URL.

b. The View Responses tab in your Dashboard (click the card to view responses)

c. The Profile Picture Dropdown Menu in your Header

d. By clicking the # Responses icon at the bottom of your Prosal card.

This is what a submitted response will look like:

Accept

This means you have reviewed their submission and have selected them as the winner to work with you on your project. This will inform them that they have been selected, and create a project between the two of you.

Decline

Use decline when you are sure you will not be working with this organization. They will be notified, and this cannot be undone.

Note: All non-accepted responses will be notified that they were not selected once you Accept another organization

Dashboard

Think of the dashboard as your Prosal headquarters. In the Manage Prosals section, there are four states a Prosal can be in. You can click on any one of these states to see Prosals currently in that state:

Active: Any Prosal you have posted and is before the deadline. It is publicly viewable in the marketplace when active.

Inactive: The deadline for this Prosal has passed, and you have not selected a winner. Either select a winner from your View Responses, or extend the deadline using Edit Prosal.

Collaborating: Congratulations! You chose someone for a project! This Prosal will stay in Collaborating until the project has been marked by you as completed.

Completed: You have marked your project as completed! Please give feedback to the person you worked with to help them improve! This feedback will be displayed on their profile page under their Completed Projects section.

Filling out your profile

We encourage you to fill out your profile, so that respondents can get a complete picture of your organization when they see your posted Prosal.

You can fill out your profile by either selecting Edit Profile in your dashboard, or clicking the edit profile button when viewing your profile.

This is where your posted Prosals will be publicly viewable. You can use this page to see other projects for inspiration, or to see how your Prosal card will look to respondents

What are the different stages of Prosal?

Active, Inactive, Accepted / Collaborating, Declined, Completed

There are four different stages that a Prosal can be in.

1) Active: When a Prosal is live and open for questions, saving, sharing, and responses.

2) In Review/Inactive: When a Prosal has been closed and is not open for questions, saving, or submissions. An inactive or in review Prosal can be moved back to Active.

3a) Accepted / Collaborating: This means that the Issuer has accepted a Respondent for the project. We recommend respondents reach out to issuers for off-platform project management during this stage and return to the platform for the completed stage.

3b) Declined: This means the Issuer has not accepted that respondent for the project.

4) Completed: A project has been completed. An Issuer can provide feedback to the Respondent during this time. Any feedback shared will appear publically on the Respondent's profile and populate only after the Issuer has officially marked the project as completed.

We put all our RFPs through a vetting process. We have three sources where we get RFPs:

1) Organic posts from the organizations themselves.

2) Concierge experiences where we run the RFP on behalf of an  organization.

3) Public RFPs that we find and ask for permission to post their RFP if  they're willing to consider hiring someone new or that they don't know.    

There is sometimes overlap in the RFPs we share as they can be picked up and/or posted on other platforms.

We encourage you to review the RFP closely to find details about how to respond to an RFP.

I have submitted a response to a Prosal. What happens now?

Once a Respondent submits a response to a Prosal, the Issuer can review your response immediately. They may reach out with additional questions or ask for supporting documents. If a Respondent needs to update their submission or add additional documents, they can do so by clicking on the Edit Icon next to their submission confirmation page.

You will be automatically notified if your response is accepted or declined by an issuer. If your response is accepted, then a message stream will be created between you and the Issuer.

Issuers are always encouraged to review responses in a timely manner and provide regular updates about their decision timeline after the Prosal due date. If the due date is passed, and you have not been notified, you may message us or the Issuer to ask for a status update.

I'm a respondent - how do I navigate the header?

The header for respondents is customized for your usage.

1. Prosal Home: Clicking on the Prosal logo will take you to the marketplace, where you can view and filter all RFPs, explore your folders, and submit proposals.

2. Dashboard: In the dashboard, you can see important updates to your account, return to your onboarding, visit Slack, and explore new resources

3. Marketplace: This is where the magic happens! From the marketplace, you can see all the RFPs in the marketplace, filter across several different filters such as budget and submission deadline, and organize them based on your preferences and submissions.

4. Blog: Read and download all of our resources, including proposal templates, case study worksheets, example RFPs, and how to succeed on Prosal

You can use the top right icons for notifications and profiles to trigger a dropdown to access the following

5. Organization: Manage your organization and its users on Prosal, including inviting users and updating credentials.

6. Profile: Fill out your profile's key details, including your areas of expertise, client parameters, and project preferences, so we can match you with the right RFPs.

7. Settings: Manage your account settings, email permissions, and existing plan.

I'm trying to share Prosals with coworkers...how do I share those?

Is an agency looking for work a respondent?

That's correct. If you're an agency or consultant looking for work, you should register as a respondent.

Is the Starter account really free?

Yes! The starter plan comes with all of the features necessary to create a profile and respond to Prosals.

Is there a lot of competition?

Most agencies respond to our RFPs when looking for work, so most projects only get a handful of interest (between 3-7 interested agencies to be exact), and not everyone ends up bidding.

Is there pricing for solo consultants?

We understand that running your business is tough, especially when just starting. We have Prosal Pro Freelancer Pricing available starting at $39/mo which gives you the same access to Prosal Pro as our regular Pro account. To apply for access, simply fill out this form.

My Prosal is inactive. How do I make it active again?

A Prosal becomes inactive when it is past its submission deadline. This means that the Prosal does not display on the marketplace and it cannot receive new responses.

A Prosal can be made active again by changing the submission deadline.

To do so, visit the Inactive Prosals tab in the Dashboard and click on the Prosal you would like to set to Active. Then click Edit Prosal and edit the submission deadline to be past the current date. The Prosal will become inactive again once it's past the updated submission deadline.

The new deadline and edit will be recorded in the Public Questions section of your View Prosal page.

Why Prosal?

Prosal’s goal is to simplify your RFP search process so that you can get on-demand business when you need it. We call RFPs uploaded to our site Prosals, because we simplify the complexity of the RFP into an organized, easy-to-read card.

The Basics: Submitting a Response

So you've found a Prosal you'd like to submit a response to. Fantastic! This is how you can upload your proposal (we call them responses) to the issuer:

Visit the Prosal page and click Submit a Response.

Yup, that's it! The Issuer will see your response and written summary and will be able to view your profile as well.

You'll be notified via both notifications and email if you are selected.

P.S. We recommend filling out your profile before submitting a response, but it's not required. Only your Name and Company Name are required.

Prosal Card

Clicking the Save button will save the Prosal to your dashboard, so you can access it again easily.

Saving will also send you any important notifications about that Prosal, including: questions & answers, updates, and approaching deadlines.

Sharing will allow anyone to view the full Prosal, even without an account.

Clicking on the card will open full Prosal, what we call the View Prosal Page

The View Prosal Page is where you can view the entire Prosal, as well as ask public questions and view any updates.

Clicking Issuer Profile will show you the profile page of the RFP issuer.

By scrolling to the bottom of this page, you can view Additional Information, Questions and Answers (Q&A), and related Prosals.

Also, hashtags are clickable.

Fill out your profile

We encourage you to fill out your profile, so that potential clients can see what makes your firm special.

You can fill out your profile by either selecting Edit Profile in your dashboard, or clicking the edit profile icon:

Think of the dashboard as your Prosal headquarters. In the Manage Prosals tab, there are five states a Prosal can be in. You can click on any one of these states to see Prosals currently in that state:

Saved: Any Prosal you have saved. You will be notified of changes and upcoming deadlines

Submissions: Prosals you have submitted a response to

Accepted: Congratulations! You were chosen for a project! This Prosal will stay in Accepted until the project has been completed

Declined: Your response was not accepted. You can use this to view historical submissions, and improve your future submissions

Completed: The Issuer has marked your project as completed! Please reach out to the Issuer to give you feedback that will appear on your profile page

This is the main place to find new opportunities. You can search using the search bar in the header, or sort by a number of different options.

What are Comments?

Comments are located at the very bottom of any Prosal's View Prosal page.

Any respondent that is logged in to their account can ask a question or post a comment on the page. The Prosal's issuer can then choose to reply to your questions in the same section of the page.

You will receive a notification if the issuer replies to a question you asked.

What happens when I decline a response? Does the respondent get notified?

In the interest of keeping all interacting parties in the loop, Prosal automatically notifies the respondent that they have not been selected for your project when you select Decline on the View Responses page. They will not be able to submit a second response to that Prosal after you have declined their response.

What is Pro and what does it cost?

Our Pro account starts at $99/mo for a semi-annual plan.

This gives you access to the premium RFPs we've been able to vet and confirm the budget, so there's no guesswork in finding the available funds for the project. It also gives you access to additional information on the issuing organization, enhanced filtering for better matching of opportunities, access to winning proposals and evaluation materials, a spotlight profile on our blog page (after one month of using Premium), and first access to any new tools we roll out

Prosal is both the name of the marketplace and the RFP once it is uploaded onto the marketplace. Prosals are standardized, easy-to-read RFPs, with summary cards that contain key details about the project, including how to submit a response.

What is a Respondant?

A respondent is any organization that submits a response to a Prosal. That can be an agency, consultant, or freelancer.

Simply put, a respondent is any organization looking for work.

What is the verification process for respondents?

We automatically match our user's emails to an online database of over 20 million email records to verify their business and contact information, founding date, services offered, and more. Whenever we cannot match their information to this database, we request some additional information they fill in by hand that our team personally verifies.

What makes Prosal different from other RFP sites?

We put all our RFPs through a vetting process. We have three sources where we get RFPs:

We have tons of RFPs from all over! Some of our RFPs are government, usually state, local, and municipal governments, which make up about 40% of the RFPs on the platform. Another 10% come from higher education or educational institutions.

Another 40% comes from nonprofit and grantmaking organizations. The remaining 10% are private companies and quasi-public/private  organizations.

What type of opportunities will I receive?

The exact number depends, but about 200 new RFPs are shared daily. Premium plan subscribers have access to even more opportunities that others will not be able to see. You'll have a guaranteed number of leads no matter what plan you sign up for.

Where do the Budget values come from in Prosal?

Premium RFPs have fully vetted budgets (the budget on the page is the budget available for the project) while free RFPs for the most part are estimates (though we do confirm their budgets sometimes).

Free RFP budget estimates are based on similar-sized projects and publicly available budget documents like 990s. We also share all our estimates with organizations for them to push back and have found we’re right about 80% of the time. Even though we’re often right, we always encourage you to check with issuers and offer the best proposal that makes the most sense.

RFPs with confirmed budgets have a gold C next to their number, while estimated budgets are denoted with a green E.

Will others be able to see my profile?

At the moment, all profiles and the information posted on them are publicly displayed and searchable. We may add additional privacy restrictions in the future. Please reach out if you have concerns.

How do I provide a proposal?

We link to wherever the issuer prefers to receive proposals. The options include a URL, email, or directly on Prosal.

For example, if you click on ‚"Respond to Prosal‚" and it opens in email, it's because the issuer chose to receive it via email and there is likely an email in the RFP or that opened in your Gmail the issuer would like to receive it. We encourage you to review the RFP closely to find details about how to respond to an RFP.
